Privacy Policy

This policy explains how Ilikoi handles personal data when providing its AI voice receptionist service. It is written in plain English. If you have any questions, email hello@ilikoi.com.

Who we are

Ilikoi is a UK-based provider of an AI voice receptionist service for appointment-based businesses. When a business uses Ilikoi to handle its calls, that business is the data controller for its callers' information, and Ilikoi acts as a data processor on its behalf.

What data we handle

When the AI receptionist answers a call, we may process: the caller's phone number, their name, the details of their enquiry or booking (such as service requested, date and time), and a written transcript of the call. We do not retain call audio recordings.

Why we handle it

We process this data solely to deliver the service: answering calls, booking appointments into the business's calendar, logging enquiries to the business's records, recognising returning callers, and sending booking confirmations. We do not sell, rent, or share personal data for marketing. We do not use call data to train general-purpose AI models.

How long we keep it

Call transcripts and booking records are retained only as long as needed to provide the service, and in line with the customer business's instructions. On request, an individual's data can be corrected or deleted. Email hello@ilikoi.com for any data request and we will respond within 30 days.

Where data is processed

Ilikoi is built on established third-party infrastructure providers, some of which are based in the United States. Transfers of personal data outside the UK are made under the safeguards those providers offer, including the UK Extension to the EU-US Data Privacy Framework and/or Standard Contractual Clauses, together with the data processing terms in each provider's agreement.

Caller transparency

Every caller is told at the start of the call that they are speaking to an AI assistant. There is no silent recording.

Your rights

Under UK GDPR you have the right to access the personal data held about you, to have it corrected or deleted, and to object to its processing. To exercise any of these rights, contact the business you called, or email us at hello@ilikoi.com and we will assist the controlling business in responding.

Terms of Service

Service-specific terms (setup fee, monthly subscription, minimum term, and cancellation) are set out in writing in the Service Agreement signed at the start of every customer engagement. A copy is available on request before you commit to anything. Key points: a 3-month minimum term, 30 days' notice to cancel after that, and no long-term lock-in.
